Cancellation/Postponement Policies 2026
Due to the intimate size of Unite Fitness Retreat programs, cancellations, postponements, and schedule changes significantly impact our operations. All reservations are subject to the policies outlined below. By registering for a program, guests acknowledge and agree to these terms.

A $1,500 per-person deposit is required at the time of registration to secure your reservation.

Deposits are applied toward your program total and are subject to the cancellation and postponement policies in effect at the time your program dates are confirmed.

Certain promotional, discounted, or restricted-rate offerings may render deposits non-refundable regardless of cancellation or postponement timing.
“T.B.D.” Program Start Dates
Guests who reserve a program with a “TBD” (To Be Determined) start date are securing their reservation at the current rates, promotions, and discounts available at the time of booking.

Promotional rates and discounts associated with a TBD reservation are valid only through the remainder of the calendar year in which the reservation is made.

A confirmed program start date must be selected on or before December 31 of that calendar year in order to retain those rates and promotions.
If a start date is not selected by the end of the calendar year:

The reservation will no longer be eligible for the original promotional rates or pricing, and
-
The deposit will be converted to a non-refundable account credit, which may be applied toward a future stay at the current rates in effect at the time of rebooking.
All standard cancellation, postponement, and modification policies will apply once a program start date is selected.
Travel Insurance (Strongly Recommended)
We strongly recommend purchasing travel insurance to protect your investment from unforeseen circumstances such as illness, injury, travel disruptions, or emergencies.
Force Majeure (Events Beyond Our Control)
Unite Fitness Retreat shall not be held liable or responsible for failure or delay in the performance of any obligation when such failure or delay is caused by events beyond its reasonable control (“Force Majeure Events”).
Force Majeure Events include, but are not limited to:

Acts of God (including earthquakes, floods, fires, severe weather, or natural disasters)

Public health emergencies, pandemics, epidemics, or government-mandated quarantines
-
Government orders, travel restrictions, border closures, or changes in law
-
War, terrorism, civil unrest, or labor disruptions
-
Utility failures, transportation interruptions, or supply chain disruptions
-
Any other event or circumstance beyond Unite Fitness Retreat’s reasonable control
In the event a Force Majeure Event prevents, delays, or materially alters program operations:

Unite Fitness Retreat reserves the right to reschedule, modify, relocate, shorten, or cancel any program without liability.

Guests will not be entitled to refunds for programs affected by a Force Majeure Event.

At Unite Fitness Retreat’s sole discretion, guests may be offered:

A future account credit, or
-
The option to reschedule their program, subject to availability and current rates.

All standard cancellation, postponement, No Show, and Early Departure policies remain in effect, unless otherwise determined by Unite Fitness Retreat management.
Guests are strongly encouraged to purchase travel insurance to protect against losses related to Force Majeure Events.
Program Postponement Policy
Guests may request to postpone their program by providing notice via email or phone. Written confirmation will be sent acknowledging receipt of the request and any applicable fees or credits.

Eligible funds may be issued as transferable account credit toward a future stay.

Credits must be applied to current advertised or promotional rates at the time new dates are selected.

Due to rising operational costs, future program rates may differ from those originally secured.

Promotional or restricted-rate reservations may carry more restrictive terms, which supersede this policy.

Late Postponement Clarification
Postponement requests received within seven (7) days of the scheduled program start date will result in:

A $1,500 postponement fee, and
-
The full program balance being charged and retained as non-refundable account credit
This means:

The program balance is not eligible for refund, and
-
The funds may be applied toward a future stay at current rates
Postponement requests within this window are treated as a late modification.
Applicable fees may be automatically charged to the credit card on file.
Program Cancellation Policy
If postponement is not an option, guests may cancel their program by providing notice via email or phone. Written confirmation will be sent acknowledging receipt of cancellation.

Cancellations made 10 days or fewer before the program start date will result in:

Forfeiture of the $1,500 deposit, plus

An additional $1,500 cancellation fee

If the program balance has not been paid, the applicable fee will be automatically charged to the credit card on file.
*Promotional or restricted-rate terms supersede standard cancellation terms.
Failure to cancel or postpone prior to the scheduled program start date constitutes a No Show.

Early departure does not entitle guests to a refund.

In rare, documented extenuating circumstances, Unite management may approve a prorated account credit at its sole discretion.

Age Requirement

A 10% service charge plus applicable taxes applies to all additional services.

A 10% service charge applies to all à la carte personal services and covers coordination services and merchant processing fees.

A valid credit card is required at check-in for incidentals.
Smoking & Cell Phone Policy

Unite Fitness Retreat is a non-smoking facility.
-
Smoking is prohibited in all interior spaces, guest rooms, buildings, and pool areas.
-
Evidence of smoking in guest accommodations will result in a $1,000 deodorization fee.

Guests are asked to silence mobile devices during programming and obtain permission before photographing or filming classes.
-
Pets are permitted only in certain Unite Lofts accommodations.
-
A $20 per day pet fee applies.
-
Pets are not permitted in programming facilities or vehicles.

Pets may accompany hikes if:

Transported in a private vehicle
-
Trails are pet-friendly and not designated watershed areas
-
Pets remain leashed at all times
Privacy & Personal Information
Unite Fitness Retreat collects personal, medical, and payment information necessary to provide services, accommodations, and programming.

Access to personal information is restricted to employees with a business need-to-know.

Guest information is never sold or rented.
-
Medical information is disclosed only with written authorization or as required by law.
